  • Sanctions screening data, including Politically Exposed Person (PEP) status (as required by OFSI regulations effective 14 May 2025)

  • Directly from you during the application or onboarding process

  • From referencing agencies (e.g. Goodlord)

  • Through identity verification and anti-money laundering checks

  • From credit reference agencies

  • Via electronic communications and forms

4. Why We Collect Your Data (Lawful Basis)

We process your personal data for the following purposes:

  • To perform our contractual duties (e.g. tenancy agreements)

  • To comply with legal obligations, including OFSI sanctions checks

  • For our legitimate interests (e.g. tenancy management, risk mitigation)

Failure to provide certain data may result in us being unable to provide services to you.

5. Sanctions and PEP Screening

As of 14 May 2025, UK letting agents are legally required to screen landlords, tenants, and guarantors against UK Government sanctions lists and assess for Politically Exposed Person (PEP) status.

These checks are conducted:

 

  • As part of initial onboarding

  • Periodically during the business relationship

  • Using secure third-party tools compliant with OFSI guidance

Data may be shared with relevant government bodies where required by law.

6. Who We Share Your Data With

We may share your data with:

  • Referencing and screening providers (e.g. Goodlord)

  • Landlords, tenants, or guarantors involved in the same transaction

  • Maintenance contractors

  • Legal advisors, debt collection agencies, or law enforcement

  • Government agencies (e.g. HMRC, OFSI, local councils)

All third parties are required to process your data securely and in accordance with data protection laws.

7. Data Storage and Retention

Your data is stored securely within the UK and/or European Economic Area (EEA).
We retain your data:
- For as long as required to fulfil our legal or contractual obligations
- Typically 6–7 years after the end of a tenancy or client relationship

You have rights under UK GDPR, including:

 

  • Access to your personal data

  • Rectification of inaccurate or incomplete data

  • Erasure of data, in some circumstances

  • Restriction or objection to processing

  • Data portability
